This privacy policy discloses how we collect, protect, use and share information gathered about you. We take your privacy very seriously and offer this policy for your review. We hope that this will help you understand our position on this subject. We feel that our policy strikes a good balance between providing information that is relevant and timely versus invasion of privacy. These policies dictate how we will actively manage (i.e. mailings, sharing information with partner companies, etc) your information. We will take responsibility for these actions. Actions that we can not be responsible for are ′passive′ releases of information. These include but are not limited to illegal/unlawful access to databases, theft, etc. While we take precautions to avoid such breaches, we can′t guarantee the integrity of such precautions.

Where do we gather the information?

Sheltowee Trace Outfitters receives information about our visitors from 4 primary sources:

• Release Forms
• Brochure Requests (via phone or web-site)
• Reservation Requests via web-site
• Credit card and checking information

In some cases, the information gathered is for legal reasons (Release forms). In other cases the information is a voluntary action (Brochure and Reservation Requests) and the information is only a necessity for sending information or coordinating a trip.

What information do we gather?

In the grand scheme of things, we gather very little information about our visitors. We gather name, address and telephone numbers from most of our visitors. Payment information such as credit card and checking information are not kept on-line or even on a computer. For those that request information from this web-site, we also gather an e-mail address. We may also gather health information (allergies, current medications, policy numbers) for certain instruction programs (see section below regarding medical releases). For those that have signed a Release Form, trip location and date is also collected.

What do we do with the information?

There are a number of things that Sheltowee Trace Outfitters does with the information gathered. These are listed and described below.

• Mailings/Newsletters - As you might expect, this is the most likely way that the information gathered will affect you. In some case, visitors requested a brochure, so certainly there is a directive to use the gathered information. From time to time, we may send out newsletters or other promotional material. While this is not from a specific directive, we feel it a reasonable use of the information gathered. All that said, we must confess that we rarely (once in the past 10-years) do unsolicited mailings. We are however considering an e-mail newsletter in the future.
• Release to partner companies - From time to time, we may share our mailing list with a few select companies whose services complement ours such as the Kentucky Professional Paddlesports Association. We do not release information to credit card or mass-mailing companies.
• Legal releases - While this situation has not arisen in the past (knock on wood), there is always the possibility of legal actions requiring the release of certain information about an individual. Sheltowee Trace Outfitters will fulfill any legal requirements that necessitate the release of information.
• Medical releases - Again, this has not come up (knock on wood again), but it is always a possibility. The only circumstance for which we have such medical information is during multi-day instruction programs. Only in the case of a medical emergency would such information be released to medical personnel. Once the instructional course is completed, these documents are destroyed. They are never entered into a computer or kept on file.

How can you make sure we don′t save the information?

The primary source of our data gathering is from release forms and from this web-site. All of these sources have boxes to check or select that will ensure that we do not retain the information presented on those forms. All release forms are saved for a minimum of 18 years for liability reasons, but are not used for data collection purposes other than as stated above.
